Assistant - Welfare, MWS Girls' Residence

Key Responsibilities

  • Attend to residents’ daily needs
  • Provide basic first aid to the residents and attend to their medical needs and health care in hostel (where applicable)
  • Assist to accompany residents to the polyclinic/clinic when required
  • Motivate and encourage residents to participate in programmes

Executive - Admin, MWS Girls' Residence

Key Responsibilities

  • Processing of residents’ maintenance fees, petty cash and petty cash bank recon reports for monthly submission to Corporate Services (CS) @ HQ
  • Maintain the GR’s petty cash float and disburse claims timely and accordingly
  • Ensure proper accounting and reconciliation on a monthly basis with CS
  • To work with CS Finance on the various receipts, invoices and topping up of GR’s account
  • To keep and record all non-permitted items and valuables for deposit
  • Handle the waiver of the resident’s maintenance and medical bills by corresponding through emails and calls to credit companies, hospitals and polyclinics
  • Bank-in maintenance fees monthly and issuance of official receipts for payment of maintenance fees to parents and donations (cash & cheque) to donors
  • Preparation of application and reimbursement of MSF Funded programmes to MSF and HQ Finance for approved programmes
  • Keeping, maintaining good inventory of assets and property, donations in kind, disposal of items/property

 

Maintenance/Vendors

  • Attend to all external vendors and ensure that the contracts are kept to date, signed and delivered by the various agencies
  • To ensure proper maintenance of the premises and ensure repairs works are completed adequately
  • Keep good document of checks and prompt, accurate filing for HOH checks, audit and licensing checks
  • Handle maintenance of equipment at the hostel
  • Handle staff certificates, punch cards and medical certificates for filing records

 

Reports, Communication & Correspondence

  • Assisting the HOH to generate reports, takes minutes of meetings
  • Maintain databases e.g. for training and status reports
  • Respond to incoming mail and emails from various organisations promptly (to solely attend to the admin@mwsgr.sg account)
  • Handle incoming calls, email correspondence and faxes from members of the public, internal and external parties and stakeholders with patience and empathy; assists with gate-keeping e.g. to field calls
  • Preparation of refreshments for visitors, meetings
  • Troubleshooting of IT / Liaison person for IT

 

Others

  • Purchasing daily packed lunch for residents (when needed)

Key Responsibilities:

  • Responsible for preparing, washing and storing all food produce efficiently and effectively and exercise high standards of overall safety, cleanliness and hygiene within the kitchen area at all times.

Key Responsibilities:

  • Monitor, prepare and submit statistical reports and other reports as required, to government ministries, BMNH management and MWS Secretariat

Senior Executive - Welfare, MWS Christalite Methodist Home

Key Responsibilities:

Primary Duties

  • Screening of residents on admission and maintain a record of properties held in custody
  • Ensure residents maintained high standards of personal hygiene and provide assistance to those who need help
  • Ensure all residents have their meals regularly and hand hygiene is observed before and after each meal
  • Attend to residents’ complaints/requests and to escalate any issue to higher authority if necessary
  • Report any illness, apparent insanity, suicidal tendency of any residents to the Director and nurses on duty in a timely manner
  • Participate in the ICP development of the residents

Key Responsibilities:

  • The safe custody of residents under his/her charge.
  • Ensure that every resident is strictly searched on admission and anything forbidden by regulations or in his/her opinion, objectionable shall be taken from such residents. Make sure that all properties of residents are properly recorded and custody
  • Ensure the residents maintained high standard of personal hygiene and cleanliness and for those that need help or assistance, they are given. He/She must help to ensure staff maintains residents’ personal grooming and dressing.
  • Make sure all residents have their meals regularly and ensure they wash their hands before handling food. Ensure that residents do not keep their food for later consumption or feed the birds and cats.
  • Ensure every resident having a complaint/fights or request has to be attended to and if unable to address the problem then discuss with their senior, counsellor and fellow colleague.
  • Report without any delay to the nurses’ and Director for any cause of apparent insanity, illness, suicidal tendency of any residents.
  • Participate in the ICP development of the residents.
  • Report and update of incident/ events of residents in the log book. Faxing of escape from lawful custody/death reports to MCYS.
  • Any death in the home/hospital – Director must be informed, nurses have to be informed for death summary and inform Senior Executive – Welfare for identification of body.
  • Make sure that residents staying the high-dependency/time-out rooms residents be checked at frequent intervals and meals are served.
  • To ensure the smooth operations of residents outings and preparations

 

Maintenance of the Home

  • To conduct hourly rounds within the home to ensure high level of cleanliness that the entire Home is clean and in good order, especially the toilets, dormitories, corridor and  floor area.  He/She must ensure that all means of security in different places are effective.

  • To supervise the Nursing Aides and Healthcare Attendants under their charge to make sure that they performed their duties and complete their tasks. Must be familiar with the Nursing Aides and Healthcare Attendants work schedules.
  • To communicate with his/her fellow worker who is relieving his/her duties all matters of importance connected with his/her duties; explain any directives from supervisors affecting any particular residents.

Direct patient care

Primary Responsibilities

  • Manage compliance with legislations governing Charities, regulatory requirements and internal policies.
    • Facilitate the management of compliance risk by the effective embedment of the compliance methodology and furnishing advice and guidance relating to compliance issues of strategic nature
